Information we collect

• Contact and inquiry info: Names, email addresses, phone numbers, messages, inquiry details, student grade, requested subjects, learning goals, schedule preferences, and any other information you choose to submit.
• Account info: Names, emails, phone numbers, role, login credentials stored securely, notification preferences, contact preferences, and account settings.
• Student and session info: Student names, grades, interested subjects, goals, notes, accommodations, scheduling constraints, assigned tutors, session subject, date, time, duration, status, meeting links, tutor notes, homework, cancellations, reschedules, and progress information shown in dashboards.
• Tutor info: Tutor names, emails, phone numbers, subjects, bios, rates, capacity, meeting links, onboarding responses, onboarding contact information, payout email, payout records, payout notification preferences, and background-check status.
• Payments and credits: Credit purchases, credit balances, credit ledger entries, amounts, grade bands, payment method, payment processor and checkout details, e-transfer records, admin adjustments, receipts, refunds, and billing notices. We do not store card numbers.
• Security and operations: Authentication data, account activity logs, password reset records, and technical information used for security, abuse prevention, troubleshooting, and service reliability.

How we use information

• Provide tutoring services, dashboards, scheduling, tutor matching, session notes, homework, and progress information.
• Match students with tutors and manage assignments.
• Process payments/credits and provide receipts or confirmations.
• Send operational communications by email, SMS, phone, or WhatsApp, including support replies, password resets, session confirmations, cancellation notices, billing notices, account notices, tutor onboarding, and payout notices.
• Maintain security and service reliability, including audit logs, rate limiting, fraud/abuse prevention, troubleshooting, and enforcing our terms.
• Improve our website and services, including by understanding website usage and lead sources.

Sharing

• Tutors and admins: Tutors see information for their assigned students; admins may access records to operate the service.
• Service providers: We use service providers for payments, communications, analytics, hosting, databases, security, rate limiting, and background checks where needed to run Evolve Learning.
• Background checks: Tutor background checks are handled independently through a background-check company. Tutors may provide identity and related screening information directly to that provider, and Evolve Learning receives status or result information needed to approve tutors.
• Legal: If required by law or to protect rights and safety.

Cookies & tracking

We use essential cookies/session tokens for authentication and account access. We also use analytics tools to understand website usage and improve the service. We may use marketing communications or related tools in the future, but we do not currently send marketing emails.

Data retention

We keep records while needed to provide services, comply with legal and accounting obligations, resolve disputes, maintain security, and operate Evolve Learning. You may request deletion, but some records may need to be retained where required or reasonably necessary.

Security

We take reasonable steps to keep information secure. No method is 100% secure; please protect your credentials.

Children's privacy

Our service is directed to parents and guardians. Students under 18 should use the service with parent or guardian consent and oversight. If you believe a child provided personal information without appropriate consent, contact us so we can review or remove it.
